Privacy Policy

This Privacy Policy explains how SoloWhisper collects, uses, stores, and protects information when you use our transcription service. It is written specifically for a product that converts audio and video into text.
1. Information we collect
We collect information needed to provide accounts, transcription, billing, support, and security:
- account information, such as email address, display name, login method, and session data;
- transcription data, such as transcript text, timestamps, task status, language, model, and exports;
- file metadata, such as file name, type, size, duration, processing status, and error messages;
- usage data, such as transcript counts, processed minutes, plan limits, and billing-related usage;
- payment records, such as Stripe customer, subscription, checkout, invoice, and order references;
- technical data, such as browser, device, IP-derived region, logs, diagnostics, and security events.
2. Original audio and video files
SoloWhisper is designed to avoid long-term storage of original audio and video files by default. When you upload a file, the file may be processed temporarily so we can prepare audio, send it for transcription, and return transcript results.
Large video or audio files may be prepared in your browser before transcription. This can reduce upload size and improve reliability. Browser preparation happens on your device where supported.
SoloWhisper does not provide permanent cloud storage or permanent cloud playback for original media by default. If you later open a transcript and want to play the original recording, you may need to choose the original local file again from your device. If you delete or lose your local media file, SoloWhisper may still keep the transcript record, but may not be able to play the source recording.
3. Transcripts and account history
We store generated transcripts, timestamps, task status, usage records, and file metadata so you can review, search, manage, and export completed transcripts from your account.
Transcript text may contain personal, confidential, or sensitive information depending on the recording you upload. You should only upload recordings that you are allowed to process, and you should avoid uploading unnecessary sensitive information.
4. How we use information
We use collected information to:
- create and secure accounts;
- generate, store, display, and export transcripts;
- measure free and paid usage limits;
- process subscriptions, orders, cancellations, and billing support;
- detect abuse, investigate failures, debug issues, and improve reliability;
- send verification codes, account notices, service messages, and support replies;
- understand site performance, conversion, errors, and product usage.
5. Third-party processors
SoloWhisper may use trusted service providers to operate the product. These may include Cloudflare for hosting, Workers, D1, KV, email sending, and AI transcription; Stripe for payments and subscriptions; Google for sign-in, tag management, and analytics; Sentry for error monitoring; and internal alerting tools for operational notifications.
These providers process information only as needed to provide their services to SoloWhisper. Payment card details are handled by Stripe; SoloWhisper does not store raw card numbers.
6. Cookies, sessions, analytics, and monitoring
We use cookies or similar technologies to keep you signed in, protect sessions, remember product state, and provide billing or authentication flows. We may also use analytics and monitoring tools to understand traffic, errors, conversion, and service health.
Analytics and monitoring events may include page views, browser details, device information, performance data, error details, and approximate location derived from IP address. We do not intentionally use your transcript text for advertising profiles.
7. Data retention
Original media files are not intended to be retained as permanent account assets by default. Transcripts, timestamps, task records, usage counters, subscription records, order records, security events, and operational logs may be kept for as long as needed to provide the service, maintain account history, support billing, comply with legal obligations, resolve disputes, prevent abuse, and improve reliability.
You can request deletion of account data or transcript records by contacting support@solowhisper.com. Some billing, security, or legal records may need to be retained where required or reasonably necessary.
8. Security
We use reasonable technical and organizational measures designed to protect account data, transcripts, billing records, sessions, and operational systems. No online service is completely secure, and you are responsible for keeping access to your email, Google account, devices, and sessions secure.
9. Your choices and requests
You may contact us to request help with account access, transcript deletion, billing questions, privacy questions, or correction of inaccurate account information. We may need to verify your identity before acting on certain requests.

10. International processing
SoloWhisper and its service providers may process information in countries different from where you live. By using SoloWhisper, you understand that information may be transferred, stored, and processed where SoloWhisper and its providers operate.
11. Children
SoloWhisper is not intended for children under 13 or for anyone who cannot legally consent to use the service. Do not use SoloWhisper to upload recordings of children unless you have the required rights, notices, and consents.
12. Changes to this policy
We may update this Privacy Policy as SoloWhisper changes. The latest version will be posted on this page with an updated effective date. Continued use of SoloWhisper after an update means the updated policy applies to your use of the service.
